General Information

 

Badges

You will receive a personalized badge when collecting your registration documents. During the conference, this badge must be clearly visible at all times and grants access to the scientific sessions, commercial exhibition and official networking events. Admission to the conference will not be allowed without badge identification.

Certificate of Attendance

For official delegates to the conference, a Certificate of Attendance is available at the registration desk.

Congress Language

The official language of the conference is English. No simultaneous translation will be provided.

Currency

Payment of conference-related matters such as registration fees, tickets for networking program will be handled in Euro (€) only.

Insurance

The conference organizers will not assume any responsibility for accidents, losses or damages, as well as for delays or modifications in the program, caused by unforeseen circumstances. No claims for indemnification from the organizers shall arise for contractors or participants in case of cancellation, for any reason, of the entire Conference.
Delegates are advised to arrange cancellation insurance for their conference costs (i.e. registration fee, travel or accommodation costs).

Passport and Visa

Please check passport and visa requirements in due time before your departure. Three month tourist visas are issued by Spanish embassies or consulates. They can take a while to be processed, so leave enough time before departure to apply. Fees vary depending on your nationality. There are no entry requirements or restrictions on EU nationals visiting Spain.

Registration desk opening hours

The registration desk will be located in the entrance of -1 level of the Conference Venue and will be opened at the following times:

Sunday, October 8th   16:00-20:00 h
Monday, October 9th 07:30-18:00 h
Tuesday, October 10th   07:30-18:00 h
Wednesday, October 11th   07:30-15:00 h
Thursday, October 12th 07:30-18:00 h
Friday, October 13th 07:30-13:00 h
Smoking

We have a strict non-smoking policy at the ICALEPCS 2017. Smoking inside the conference venue is prohibited. Smoking areas are available outside the main entrance of the conference center.

Transportation to the Venue

If you are planning on using public transportation during the conference, we suggest that you purchase a T-10 card (1 zone 9.95€ 10 trips). It is valid for bus, subway, tram (except the aerobus) and is available at the metro stations.

Travel Visa – Letter of Invitation

On request, the Conference Secretariat will be pleased to send letters of invitation to individual participants. Invitations of this kind are intended to assist potential delegates to raise their travel funds or obtain visas. They do not imply any commitment or responsibility on behalf of the Conference to provide financial support. Please note that letters of invitation can only be sent after receipt of registration and payment of full registration fee.
Please note that Visa applications can take a while to be processed, so please send us your request for a letter of invitation in due time.

VAT

There is a variable value added tax (VAT) of 10% to 21% applied to most items and services but in most prices you see will include it. When it is not included, this should be clearly indicated. Neither the Organisation nor Mondial & Cititravel Congresos accepts responsibility for any changes, which may occur due to an official increase of VAT.

Volunteers

There will be volunteers available to assist delegates. The volunteers will wear polo-shirts or T-shirts with ALBA Synchrotron and ICALEPCS2017 logos.
